Job Summary:

We are seeking a strategic and detail-oriented Director of Finance to lead all financial operations for a new luxury hotel that includes integrated HOA and club management components. This role will be instrumental in establishing financial systems and controls pre-opening and providing comprehensive fiscal leadership post-opening.

The Director of Finance will oversee all aspects of accounting, budgeting, compliance, reporting, and HOA financial management, while partnering closely with ownership, the General Manager, department heads, and the HOA Board to ensure operational and fiscal success.

 

Job Specifications:

Job Qualifications:

Required-

  • Bachelor’s degree in Accounting, Finance, or related field (CPA preferred).
  • Minimum 5 years of hotel finance leadership experience; HOA or club finance experience required.
  • Strong knowledge of USALI, GAAP, and HOA governance.
  • Expertise in financial systems, budgeting, and multi-entity reporting.
  • Excellent leadership, communication, and analytical skills.
  • Able to work a flexible schedule including weekends and holidays as required.
  • Detail oriented on assigned tasks and the ability to follow through to a conclusion
  • Ability to take ownership of projects and drive production through completion
  • Ability to work successfully in a strong team environment

 

Pre-Opening Responsibilities:

Systems Setup

  • Lead implementation, configuration, and testing of financial systems, including PMS, POS, accounting software, procurement, HOA/club management platforms, and reporting tools.
  • Ensure seamless integration between operational systems and financial reporting platforms.
  • Establish a Chart of Accounts in accordance with USALI (Uniform System of Accounts for the Lodging Industry).

Policy & Procedure Development

  • Develop and document SOPs for hotel and HOA financial processes, procurement, and approvals.
  • Implement robust internal control systems to ensure accuracy, compliance, and fraud prevention.
  • Define delegation of authority and procurement workflows for both hotel and HOA operations.

Team Recruitment & Training

  • Recruit and onboard the finance team, including hotel and HOA-specific roles.
  • Provide training on financial systems, compliance protocols, and internal procedures.
  • Offer financial literacy and reporting education to operational leaders and HOA representatives.

Legal, Tax & Compliance

  • Oversee completion of all statutory registrations (tax IDs, payroll setup, insurance, etc.).
  • Collaborate with legal counsel and ownership to ensure compliance with local, state, and federal financial regulations for both hotel and HOA entities.
  • Manage insurance policies for hotel assets, HOA common areas, and operational liabilities.

Banking & Cash Management

  • Establish banking relationships, open accounts, and implement cash handling procedures.
  • Set up merchant services, credit card processing, and safe/cash float protocols.

Owner, Board & Stakeholder Reporting

  • Develop customized financial reporting packages for hotel ownership and the HOA Board.
  • Create dashboards and performance metrics for both operating and capital financial tracking.
  • Ensure transparent and timely communication with internal and external stakeholders.

 

Post-Opening Responsibilities:

Strategic Financial Oversight

  • Partner with the General Manager to drive fiscal responsibility, identify efficiencies, and support long-term financial goals.
  • Lead budgeting, forecasting, variance analysis, and performance reporting for hotel and HOA operations.
  • Provide strategic insight into hotel P&L, HOA dues, assessments, reserve fund planning, and capital expenditure forecasting.

HOA Financial Management

  • Prepare and manage Operating budgets, HOA budgets, monthly financials, and reserve fund tracking.
  • Present regular financial updates to the HOA Board and support annual audit processes.
  • Ensure accurate dues billing, assessment collection, and financial reporting for homeowners.
  • Coordinate with HOA property management on maintenance funding, vendor payments, and compliance with governing documents.

Financial Operations & Compliance

  • Supervise daily accounting operations, including accounts payable/receivable, credit card reconciliation, cash management, and GL posting.
  • Ensure group and guest billing is accurate and issued within service standards.
  • Maintain tax-exempt revenue logs and audit internal postings for accuracy and compliance.
  • Monitor audit procedures and lead internal/external financial audits.

Team Leadership & Cross-Departmental Support

  • Manage finance team performance and professional development.
  • Act as a financial liaison to all hotel departments, ensuring accurate and timely financial support.
  • Provide clear, responsive communication, including email response within 48 hours.
  • Deliver financial training and tools to empower operational leaders.

Guest Interaction & Service

  • Serve as a point of contact for guest billing inquiries, resolving issues with professionalism and hospitality.
  • Support world-class service delivery by ensuring financial processes enhance the guest experience.

General Responsibilities

  • Uphold all Vail Resorts and Kindred compliance, training, and safety standards.
  • Maintain accurate, up-to-date financial records and reporting files.
  • Perform additional duties as assigned to support the success of the hotel and HOA.
