Conference Services Manager - Full Time Year Round

The Conference Services Manager is responsible for all aspects of the hotel event operations including social, wedding and corporate group/catering functions, meeting planning and all routine activities and special events located on the hotel grounds at Crested Bute. S/he is responsible for building and maintaining relationships with existing accounts, new accounts, operational partners, internal stakeholders and vendors. Position is responsible for detailing rooming lists, billing set up and BEO preparations. Responsibilities include, but are not limited to:

  • Creates all BEO's and Room Diagrams through partnering with Chef’s to make customized menus to meet creative client needs and budgets requested by planner through knowledge or products and services.
  • Coordinate transportation to venues and activities.
  • Manage relationships with outside vendors to generate proposals and schedule and execute vendor services on behalf of the client.  
  • Management of current and future groups and group contacts to provide one stop service while providing for all group needs to drive return and repeat groups.
  • Responsible for upselling throughout process from time of sale through event by identifying opportunities through planning phase and event.
  • Responsible for developing revenue enhancement programs to increase the sales of conferences and catered events.
  • Remains on the cutting edge of industry trends and is capable of selling/delivering exceptional and memorable themed events, weddings and meetings. 
  • Leads weekly Banquet Event Order and Resume meetings with operational partners such as Chef’s, GM’s, and Operational Managers.
  • Oversee on-site operations to ensure effective implementation of clients’ expectations and solve any issues that may arise in conjunction with Operations teams.
  • Partner with Chef’s and Management for bi-annual review of product, services, and policies to remain market leader in group events.
    Develops strong working relationships with other department managers and directors to ensure communication and teamwork is at an optimum.
  • Participate in regular monthly meetings with the department to address current initiatives, projects and long term goals. As well as, participate in weekly Sales & Catering meetings.
  • Achieve Sales and Service Budget with accurate forecasting for each group by reporting accurately and identifying areas of opportunity.
  • Collect credit applications and all deposits when necessary. Package all bills from various outlets and vendors ensuring accuracy before sending to accounting for processing. After review of final bill, responsible for any adjustments by working with Lodging Properties, all lines of business partners, and vendors. Work with group contacts to ensure timely payments that are not received by accounting.
  • Achieve set group satisfaction scores by providing exceptional service to ensure continued business.



  • High School Diploma or Equivalent required
  • Minimum 2 years’ experience working in customer service; preferably in hospitality, food and beverage, or sales 
  • Expected to work flexible schedule including nights, weekends, and Holidays based on group needs
  • Broad base of knowledge and skills in food service management, including menu planning, cooking/food preparation operations, dining room set up and service, wine service, ordering, staffing, pricing, and budgeting.
  • Excellent administrative and organizational skills.
  • Excellent financial planning and analysis skills.
  • Ability to deal effectively with a wide variety of company personnel as well as clients and outside organizations.
  • Excellent verbal and written communication skills.
  • Working knowledge of Microsoft Office, Word, Excel, and Outlook.
  • Knowledge of Salesforce preferred.
