Job Summary:
The Senior Event Coordinator is a crucial member of the Events Team. We are a high performing team that provides luxury service in Vail, CO to large groups. This role provides administrative support to the Events Team.  In this role you would be responsible for the day-to-day operation of the office; including answering telephones, being the first point-of-contact for guests reaching out, and keeping distributions and weekly reports on schedule. 

Job Specifications: 

  • Starting Wage: $21.47/hr - $26.29/hr

Job Responsibilities:

  • Answer phones with appropriate greeting; offering to assist. 
  • Proactively manage the office: Order and maintain office supplies and stock, keep public space tidy, 
  • Attend and take minutes at weekly Operations team meetings and distribute accordingly within 24 hours.
  • Complete administrative duties in a timely manner to support the events team
  • Compile and distribute BEO packets and attend daily BEO meetings, compile and distribute 10-Day packets and attend weekly meeting, 
  • Distribute weekly ESS surveys received and update performance rankings, 
  • Detail all in-house functions, as well as Vail Resorts functions, as assigned by Senior Event Manager
  • Input information for Reader Boards daily, complete Post-Con Tracking spreadsheet weekly, complete Convention Calendar weekly
  • Attend daily hotel standup meetings
  • Distribute Group Resumes and Cover Sheets
  • Provide customer support as needed for in house groups
  • Maintain program knowledge for the Event team by attending planning meetings, conference calls, reviewing group resumes and banquet event orders (BEO’s) prior to group arrival
  • Other duties as assigned


Job Requirements: 

  • 2 year undergraduate degree in relevant field (Hospitality, Sales and Marketing, Business, Communications)
  • 2+ years experience in one of the following:  Sales and/or Marketing position, travel industry, hospitality, or event coordination
  • Above average proficiency with Microsoft Office
  • Ability to read and comprehend complex correspondence.
  •  Ability to effectively present detailed information both verbally and in written form to employees, managers, executives and guests.
  • Professional vocabulary. This role works with luxury clientele 
  • Valid US Driver’s License 
  • Excellent communication skills
  • Ability to multitask and prioritize 
  • Thrives in a fast paced environment 

 

The expected Total Compensation for this role is $21.47/hr - $26.29/hr. Individual compensation decisions are based on a variety of factors.
