Job Summary:

Work at The Arrabelle! Vail Resorts premier resort is looking for a Sr. Administrative Assistant for the Engineering Department. You will provide administrative office functions for engineering and support to the other departments as needed. Entering and closing out requests in IQtrac for all maintenance issues and then billing and posting all work orders into our accounting system. Must be able to work and interact with team members and outside entities such as contractors, vendors, condo owners, inter-departmental staff and maintenance staff in a professional manner. Provide excellent customer service for both internal and external customers. Actively pursue answers or resolutions to maintenance problems or concerns. Assist in end of month billing and reporting and assist staff regarding time sheets and managing work and parts orders. Create and review spreadsheets to track checkbooks and being in compliance with opening Purchase Orders.

Job Responsibilities:

  • Answer all phone calls directed to Engineering
  • Log all calls and assign proper technician the work order in IQTRAC
  • Enter and manage all work orders in computer system
  • Oversee all material requests and open all Purchase Orders for the engineering department
  • Process all invoices and forward to accounting
  • Assist the Director of Engineering and Assistant Building Manager in maintaining strict control over operating budget
  • Maintain journal entries of P-Card purchases
  • Develop and maintain filing system for department
  • Assist with payroll editing and scheduling of PTO requests
  • Assist with scheduling of outside contractors
  • Complete assigned special projects
  • Assist and support with all requests related to the engineering department

 

Job Requirements:

  • High School Diploma or GED.
  • 3+ Years previous administrative experience to an executive-level position.
  • Valid CO. License.
  • Proficient in Word, Excel, MS Office, Data Entry
  • Ability to Read, Write, and Speak English.
  • Punctual, articulate and the ability to manage checkbooks.

Preferred Skills:

  • ePro experience

 

The expected pay range is $22.32/hr - $30.57/hr. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.
