Job Summary:
The Executive Administrative Assistant will support the General Manager with daily organizational functions, including scheduling of appointments, transmission of information to department heads, daily report generation, and initial point-of-contact in Executive Office for all employees and guests. This position will also monitor the gift certificate program, VIP amenities, and guest comment card program. This position reports to the General Manager.

Job Responsibilities:
- Maintain a professional demeanor at all times and maintain work area in a professional, orderly manner.
- Answer telephone for GM as needed, in a prompt and professional manner.
- Handle guest calls and complaints and resolve situation if possible
- Monitor and administer Guest Assistance File and Guest Survey Responses
- Handle amenities for VIPs.
- Order office supplies through purchase orders or requisitions as needed.
- Handle sales of gift certificates for accommodations, dining, or dollar amounts and keep proper accounting logs.
- Dives deep into the operations to support managers.
- Participate in decisions and prepare donation gift certificates and keep proper accounting logs.
- Maintain and reconcile GM credit card monthly
- Sort incoming correspondence to the General Manager
- Collect departmental information and prepare monthly Owner's Meeting Books.
- Handle inquiries about rooms for VIPs. Complete paperwork, route for signatures and distribute
- Maintain the calendars and make appointments for the General Manager
- Handle the Comment Cards program for all the departments. Order comment cards and submit them by the 25th of each month.
- Assist the General Manager and DOS in typing memos, letters and agendas, answering the phone, faxing, and mailing.
- Work on special projects as requested by the General Manager and/or Executive Committee Members
- Other duties as assigned
Job Requirements:
- High School diploma required, College degree preferred
- Above average proficiency in Microsoft Word, Outlook, Publisher, Excel and Power Point.
- Three years experience in the hospitality industry or in a professional, office environment preferred
- Must be able to speak, read and write English in a professional manner
- Excellent oral and written communication skills.
The expected pay range is $26.00 - $29.50. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.
