The Ski & Snowboard School Admin Team drives Superior Ski and Snowboard School results through engagement, support and collaboration, and is the critical support for all Front Line Operations of the school. Supports the front line operations of the Ski & Snowboard School to include but not limited to all instructor hiring, payroll, accounting, data entry, tracking, and reporting operations.

DUTIES/RESPONSIBILITIES
Hiring and Onboarding

  • Manage onboarding process of over 900 New Hire and Rehire Staff, including:
    • Represent Park City and the SSBS at recruiting and hiring events
    • Travel internationally for J1 Interviews and Hiring
    • First point of contact with applicants to schedule Interviews
    • Use Staff DB to track process of all New and Rehires through process
      • Job Offers
      • Direct Hires
      • BGC Orders
      • New Hires
    • Send New Hire Keep Warm Communications
    • Receive New Hires Schedules and sign NH up for required paperwork and training sessions
    • Process onboarding paperwork, including I9 verification, and create RPOS profiles
    • Coordinate with Training Manager and Supervisors to get all NH into training
    • Manage onboarding process for SIS Staff, including
  • Communicate intent to return process to SIS staff (schedule forms)
  • Receive schedule forms and update staffing lists
  • BGC Orders
  • Update Staff DB
  • Ensure SIS staff sign up for required pre-season meetings
  • Process EAFs for all new and returning staff in time for start date
  • Employee Relations
  • Assist employees with all manner of questions, issues, problems.
  • Answer payroll and paycheck questions
  • Guide employees in company policies and procedures
  • Make decisions related to employee relations

Payroll Management

  • Manage all Ski & Snowboard School payroll
  • Develop system for daily payroll reporting process to ensure accuracy
  • Train supervisors on system
  • Ensure that supervisors are accurately following the process
  • Maintain quality of payroll reporting
  • Train Admin Assistant on accurately entering daily payroll for employees
  • Audit payroll input
  • Check SuccessFactors to ensure hourly employee timesheets are accurate
  • Research discrepancies in payroll and take appropriate action to reconcile inconsistencies
  • Enter Tips paid on CC into SuccessFactors at end of Pay Period

Manage all administrative and payroll operations of The Ski & SB School

  • Conduct business related research as directed by Director and Business Manager
  • Prepare and maintain various reports / records related to budgets, administrative, etc…
    • Assist Business Manager in supply management and purchasing
    • Set up and organize the Ski & Snowboard School business office

Coordinate with the Director, Business Manager and supervisors to support and achieve departmental goals

  • Provide Managers and Supervisors with stats of NCNS, Late, Called In
  • Alert Managers when troublesome trends are evident (NCNS, Late, missed days, etc)
  • Forward All Staff Communications from PCInstNews
  • Work with Training Manager to ensure accurate tracking of all training clinic attendance Personnel Management:
  • Maintain Staff databases (RPOS and Access) so that all staff lists are accurate and up to date
  • Keep an accurate staff master list
  • Onboard Employees at Human Resources led onboarding events
  • Work with Human Resources and Payroll to ensure all employee information us up to date and accurate
    • Work closely with ski and snowboard school staff and other departments to ensure all company policies and procedures are followed
  • Coordinate with HR to ensure Ski & Snowboard School employee data and files are accurate

 

Perform other assignments as required, including but not limited to the following:

  • Assist Director with Administrative Tasks, including
    • Meeting agendas and Notes
    • Schedule management
    • Expense reporting
    • Travel
  • Confer regularly with Ski & Snowboard School Director and other company personnel/departments to plan, coordinate and evaluate activities and services, exchange information, resolve problems, and more.
  • Handle customer and employee complaints, and decide on the appropriate course of action
  • Provide superior administrative support to the Director, Managers and Supervisors of the Ski & Snowboard School
  • Provide superior service to employees and customers at all times.
  • Follow all Resort Etiquette Guidelines while interacting with guests and employees, and respond to all requests in a courteous, efficient manner.
  • Adhere to all company policies, procedures and guidelines. Adhere to and model Canyons’ and Ski & Snowboard School’s missions, visions and values
  • Other duties if assigned

 

PHYSICAL REQUIREMENTS

  • Office environment, i.e. sitting, standing and walking in a small area for extended periods of time with few breaks
  • Lifting, bending and squatting.
  • Frequent phone work; repetitive keyboard action; manual dexterity required
  • Exposure to inclement weather conditions.

 

QUALIFICATIONS

  • Bachelor’s Degree with study in appropriate discipline desirable, plus 2+ seasons of relevant work experience, or a combination of education and experience from which comparable knowledge and skills are acquired
  • Superior administrative, organizational and supervisory skills
  • Training or experience using computerized systems; ability to use computers and related hardware and software
  • Ability to deal effectively with customers as well as other company personnel, including the ability to handle a wide variety of customer and employee complaints, problems and special requests
  • Good at Time Management; able to focus on and complete both repetitive daily payroll input with high levels of care and accuracy while also completing weekly and special projects as assigned
  • Ability to effectively utilize telephone and radio equipment
  • Able to gain a full understanding of a complicated pay structure, and be able to communicate this to others
  • Strong oral and written communication skills with the ability to communicate through written reports and memos, and to converse clearly and comfortably with a variety of guests and company personnel
  • Ability to work in a fast-paced environment, and is able to maintain speed and accuracy in work through numerous interruptions.
  • Strong work ethic; reliable, honest, energetic with a positive and enthusiastic attitude.

 

 

 

The budgeted range starts at $20.  Actual pay will be adjusted based on experience.
