Job Specifications:

  • Starting Wage: $26.66 per hour
  • As of October 2022, all minimum wages will be $20 an hour.

The Senior Administrative Assistant is responsible for providing comprehensive administrative support to the Vice President of Hospitality for Keystone and Breckenridge.  In addition this role provides broad support to the Hospitality Senior Leadership Teams, including strong interface with the mountain Senior Leadership Teams of both Keystone and Breckenridge.  This position must be committed to completing a wide variety of tasks independently with strong attention to detail, accuracy and follow-through. This position is expected to understand the Vice President’s schedule and priorities, and support in maximizing time and focus through forward-thinking partnership. It is expected that the candidate will proficiently accomplish all administrative aspects of the job and have remaining bandwidth for additional local or corporate stretch assignments.  Vail Resorts has a leadership-focused culture. This position will participate in leadership reflections and discussions, and business strategy meetings with the Vice President and his direct reports.

 

Job Responsibilities:

  • Provide poised and resourceful administrative assistance to the Vice President and Senior Leadership Teams; accomplish goals and meet deadlines in a fast paced work environment.
  • Possess excellent self-management skills: organization, goal-setting, time-management, self-motivation, self-directing, stress management, reliability and accountability.
  • Be a leader in the role and a contributor in a team-driven environment.
  • Possess a level of detail and accuracy, drive for results, and have the ability to anticipate business needs before requested. Be forward-planning.
  • Support strategic projects and project management duties as required (e.g., developing PowerPoint presentations, memos, and communication plans).
  • Maintain calendars, coordinate meetings, prepare expense reports, and arrange travel.
  • Schedule and coordinate reoccurring meetings and special events (e.g., SLTs, offsites), providing technical support, creating agendas, taking and distributing notes, and tracking action items.
  • Create a high level of trust and confidence acting with the utmost professionalism and discretion over the phone, through written communication and in person to accomplish requests and achieve goals.
  • Demonstrate a strong interest in Vail Resorts’ business and the division’s specific goals.
  • Become a super-user with the company’s administrative systems: Concur, Coupa, MS Teams, Mountain Money and SuccessFactors.
  • Provide prompt and efficient customer service and information to guests, clients, business associates and employees over the phone and in person.
  • Establish strong working relationships with key stakeholders including hospitality and mountain leadership and their respective assistants.
  • Follow and be an example setter of company policies and procedures.
  • Maintain org charts and detailed employee contact spreadsheet and email distribution lists.
  • Maintain schedule and timely renewal of liquor licenses held across Breckenridge and Keystone hospitality business units.
  • Other duties as assigned

 

Job Requirements:

  • Bachelor’s degree preferred.
  • 2+ years’ experience supporting an executive preferred with prior administrative assistant experience required.
  • Excellent oral and written communication skills required.
  • Highly proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook) required.
  • Proficient in Microsoft Teams, SharePoint, Adobe Acrobat DC, DocuSign, and OneNote.
  • Strong critical thinking, problem solving, teamwork, collaboration and leadership skills.
  • Must be a progressive learner, organized, detail oriented, and professional.
  • Ability to multi-task with shifting priorities in a fast paced environment. Must be flexible, resourceful, and demonstrate excellent time management skills.
  • Experience working for a publically-held company preferred.
  • Experience in project management a plus.

 

 

 

The budgeted range starts at $26.66.  Actual pay will be adjusted based on experience.
