  • Shift & Schedule Availability: Full Time, Year Round

 

Job Responsibilities:

  • Demonstrate our Whistler Blackcomb and Vail Resorts core values: Serve Others, Be Inclusive, Do Right, Drive Value, Do Good, Be Safe, and Have Fun!
  • Daily data entry of Maintenance timesheets
  • Creating, scanning /closing work orders and monitoring requests SAP Software System
  • Generating Daily Work Order Reports,  sending out to key stakeholders
  • Entering Purchase Requisitions, receiving and following up on Purchase Orders in Coupa Procure-to-Pay system
  • Monitor invoices, vendor statements and accrual reports as required
  • Receiving calls on Building Maintenance Emergency Line and dispatching to appropriate team
  • Creating lift tickets for on-mountain repairs or site visits conducted by contractors/partners
  • Main point of contact for Work Force Management – scheduling software system 
  • Assist with daily administrative duties in the Maintenance / Mountain Operations office
  • Handling our internal and external guests in a manner consistent with corporate policy
  • Working with and supporting VP’s, directors, managers, supervisors and planners as needed


Job Requirements:

  • Confidentiality and good judgment
  • Capable of establishing priorities and managing workload
  • Must have strong organizational skills, excellent attention to detail and communication skills
  • Enjoy an open office and team environment
  • Familiarity with Whistler Blackcomb policies and procedures as well as previous Administrative Assistant experience is an asset
  • Must have competent knowledge in computer programs, specifically MS Suite (Word, Excel, Teams and Sharepoint)
  • Knowledge of Enterprise Management Systems such as SAP, Finance and Human Resource Applications such as PeopleSoft, Familiarity of Vendor Management Systems such as Coupa/OnBase.
  • Prior knowledge of RPOS Software (Lift Access) is beneficial
     

Other requirements:

  • Must be flexible as the work schedule includes weekends (ski/bike during the week when it’s quieter!)
  • Work well independently and as part of a team.
  • Able to meet deadlines and work under pressure.
  • Knowledge of Whistler Blackcomb mountain operations.
  • Familiarity with Enterprise Asset Management Systems (EAM) programs an asset.
  • Required to complete a satisfactory criminal record check.
