Position Status: Full Time Year-Round


Job Summary:

The Administrative Assistant for sales will be involved in all aspects of sales.  Time will be split between general administrative duties, employee experience/payroll, office organization, special projects and support for both sales and service managers.


Job Duties:

  • Plan, organize and keep the sales office on track in all areas of admin including ensuring proper supplies are readily available, receiving and shipping packages, setting up guest rate tickets for guests, compiling of safety reports, organizing staff functions, blocking meetings, overall sales calendar and vacation/sick pay
  • Gathering sales leads through direct phone calls and several online portals and distributing to the appropriate sales manager
  • Administrative items in Delphi FDC for internal blocks
  • Administrative duties in relation to the turnover of sales contracts with accurate forecasting
  • Management of the overall marketing plan and ensuring the proper tools are in place for the sales managers (photos) as well as editing the sales specific web pages with relevant and necessary information
  • Creating purchase orders and ensuring the timely payment of invoices
  • Responsible for the team budget and adherence to team budget
  • Coordinate sales team travel arrangements
  • Participate in training programs as required
  • Compiling information for a partner-facing quarterly newsletter
  • Administer special projects as required

  • Professional telephone manner and presentation
  • Experience with Vail Resorts and Whistler Blackcomb business systems including Success Factors, Peoplesoft, RPOS and IT Support Centre
  • Ability to work and make decisions independently
  • Ability to fit into a team and perform well under pressure in a fast paced environment
  • Previous office/administrative experience preferred
  • BC Driver’s License and Drivers Abstract mandatory
  • Required to complete a satisfactory criminal record check
