Job summary: 

Supporting the Vice President of Reservations, the Executive Assistant is responsible for the liaising and coordinating of information from the Vice President to the Senior Managers, General Managers and Supervisors of the division and operational coordination of the office.  As an administrative and relationship role, the Executive Assistant is privy to most confidential information and is responsible for the proper dissemination, organization and storage of such information. 

 

Primary Responsibilities:

 

Communication

  • Communicate and liaise with Senior Managers, Managers, and their assistants and other members of the team.
  • Act as a liaison between the managers, suppliers and partners.
  • To ensure all verbal and written internal, external, incoming and outgoing correspondence are processed in an accurate, effective and timely manner.

 

Administrative

  • Provide administrative support, including but not limited to; maintaining the VP’s schedule, assisting in reconciling monthly credit card statements, project planning /support, submitting A/P invoices to the Finance, preparing monthly variance reports, ordering office supplies, photocopying, mail, etc.
  • Understand financial reporting and basic accounting systems, including budgeting, payroll, expenses, A/P and A/R processes.
  • Schedule, prepare packages for, attend and document meetings for reference to the different leadership teams (including Senior Manager Meetings, Manager Meetings, Strategic Planning Meetings, Capital Meetings, Special Projects, etc).
  • Prepare divisional weekly reports for the Senior Leadership Team meetings.
  • Prepare weekly and ad hoc reports as required
  • Scheduling of calendars, meetings, events and travel arrangements.
  • Organize divisional annual events, social activities and recognition.
  • Provide support to all Managers and Supervisors during peak times or when required. 
  • Provide support to other divisional Executive and Administrative Assistants and other members when required.
  • Other various tasks as assigned to manage of the office location; Parking, office equipment, security, building maintenance, licensing and recycling.

 

Qualifications:

  • Proficient with computer software packages including Excel, Word, PowerPoint and Outlook.
  • Previous exposure to PeopleSoft, Coupa, SharePoint, Inntopia and OnBase an asset as well as administrative experience.
  • Proven ability to build and sustain strong working relationships.
  • Proven ability to maintain a high level of confidentiality.
  • Excellent verbal and written communication skills.
  • The ability to thrive in a fast-paced, multi-tasking environment and adapt to changing priorities with ease; remain flexible and approachable.
  • Organizational, analytical and problem-solving skills as well as adaptability and the ability to work under pressure.
  • Ability to deal effectively with a wide variety of stakeholders and in a variety of situations.
  • Proven ability to work independently and within a team environment.
  • Be detail oriented and highly organized.
  • Ability to establish priorities and manage the resulting workload.
  • Demonstrated ability to represent the division and the company in a professional manner
  • Proof of satisfactory criminal record check
