This position acts administrative support to Mountain Operations Directors, managers and Sr. Admin working in a fast-paced office environment and assisting with daily administrative duties as they pertain to Mountain Operations Must be able to work in a team environment with a high level of honesty and integrity.  Vail Mountain Operations consists of 10 departments (Lift Operations, Ski Patrol, Mountain Safety, Adventure Ridge, Terrain Park, Racing, Snowmaking, Grooming, Fleet Maintenance, and Lift Maintenance) and this position is responsible for supporting each manager, regularly interacting with internal departments to promote, process, and communicate information in a timely and efficient manner.

 

ESSENTIAL JOB RESPONSIBILITIES:

  • Edit and input time and labor, including correcting exceptions, employee payroll for the Mountain Operations departments.
  • General office and administrative duties - filing, mail distribution, answer emails and phone in professional, courteous manner
  • Assist Mountain Ops Managers for support with onboarding, assist with training schedule, rosters, communication with new hires and other tasks as needed.
  • Consistently communicate policies and procedures to departments and employees resort wide
  • Assist with purchasing, receiving and processing invoices for Mountain Operation departments
  • Act as liaison for departments, employees, and vendors in a consistent and professional manner
  • Frequent exposure to sensitive information where maintaining confidentiality is essential
  • Demonstrate flexibility and the ability to work under tight deadlines and changing priorities with accuracy, dependability and a positive attitude
  • Support department’s hiring and housing needs as well as facilitate onboarding and I9 verification
  • Assist teams in operations when needed
  • Other duties as assigned

 

JOB REQUIREMENTS

  • High School Diploma or equivalent; Bachelor’s degree in Business Administration or a related field – preferred
  • Strong in MS Office including Word, Access, PowerPoint, Excel
  • Must be highly organized and able to communicate effectively with management, employees, guests and vendors.  Attention to detail, ability to meet deadlines, organizational skills, communication skills, ability to work within a team and independently without constant supervision
  • Additional programs such as OnBase, PeopleSoft HR and Financials, SuccessFactors, Coupa, Concur, AIMS, RPOS, Outlook—preferred

 

The budgeted range starts at $17 -$19.  Actual pay will be adjusted based on experience.
