The Finance & Accounting Administrative Assistant position provides Accounts Payable support, AR Support, as well as Administrative support to the Accounting Team.

 

Essential Job Functions:

  • Prepare, review, and enter invoices and expense reports into our proprietary system.
  • Review all Vendor Statements and request outstanding invoices.
  • Prepare and Complete Check Runs and provide adequate documentation for support.
  • Maintain an organized system to follow up with peers for signed/coded invoices.
  • Work all open status accounts & house accounts daily
  • Maintain an organized system of filing/scanning
  • Prepare all new Vendor Requests for authorization
  • Scan Batches into Shared Drive
  • Accommodate and document special requests at the direction of the AR Supervisor/Adof.
  • Ensure compliance with standard and local operating procedures (SOP's and LSOP's).
  • Respond to all guest calls in a timely manner.
  • Processes payroll deductions and monitors employee housing deposits
  • Maintain H status & O status accounts for period end.
  • Ensure uniform and personal appearances are clean and professional
  • Maintain confidentiality of proprietary information and protect company assets.
  • Welcome and acknowledge all guests according to company standards, anticipate and address guests' service needs, assist individuals with disabilities, and thank guests with genuine appreciation.
  • Speak with others using clear and professional language; answer telephones using appropriate etiquette.
  • Develop and maintain positive working relationships with others, support team to reach common goals, and listen and respond appropriately to the concerns of employees.
  • Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors.

 

Qualifications:

  • English fluency - required
  • High School degree or equivalent - required
  • Must be 21 years of age or older - required
  • 2 years of Accounting/Hotel experience - preferred
  • Able to work as part of a team - required
  • Able to work weekends and holidays, as needed 
  • Proficient in Microsoft Word/Excel/Outlook/Powerpoint/POS/Peoplesoft – preferred
  • Understanding of Uniform System of Accounts for the Lodging Industry 11th Edition - preferred
