The Group Rooms Coordinator will assist the Group Sales Manager and Tour Specialist with all group functions from organization to completion, assist with maintaining present accounts, work with Revenue Manager to achieve optimum group occupancy and revenue, and partner with the Reservations and operations teams to ensure the successful execution of the guest experience. 

Job responsibilities include, but are not limited to:

  • Responsible for inputting all tour & group rooming lists, entering tour & group blocks into all correlating sales/reservations system, & creating tour packages
  • Enter group activities in V1 as needed & update counts. Coordinate with internal teams on execution of the activity in-season.
  • Maintain effective communication with clients, the sales and marketing department, and with all other hotel departments. Including but not limited to managing rooming list changes, VIP and special requests, and event coordination.
  • Reviews group resume and verifies billing information and routing etc., is set up correctly in all system prior to group arrival in conjunction with the front office and accounts receivable.
  • Adhere to all policies related to reservations operations to include the proper handling of room blocks and cut off periods, rate quotation, packages etc.
  • Monitor Group/Tour Reporting & quality checks
  • Responsive to instructions, suggestions and work to resolve problems.
  • As time allows, assist our Reservations team in providing accurate information regarding availability, guestroom types and accommodations, room rates, hotel facilities and services, local attractions/events, transportation to and from hotel, etc.


Job requirements:

  • Experience in hotel front office or reservations preferred
  • Excellent and professional communication skills
  • Proficient with computer systems, familiarity with keyboard and data entry
  • Ability to function under heavy pressure with constant phone use, to perform repetitive tasks and disperse the same information repeatedly
  • Proficiency with Microsoft Office Suite, Visual One, and Delphi preferred
  • Detail oriented, analytical, and time management skills
  • Work as a part of a team, with limited supervision
