Job Summary:

Provide direct administrative support to the Director of Skier Services, the Ski & Snowboard School and to support the resort as a member of the admin team under the lead of the admin to the GM.  The Administrative Specialist is a member of the Ski & Snowboard School leadership team – advising on strategy, implementation, and serving as an advocate for the employee experience.

Job Responsibilities:

  • Administration and Operations
    • Drive internal communication, locker room postings, the WORD, and the guest email campaigns.
    • Answer shared inbox emails within 24 hrs. Reassign inbox duties on days off.
    • Keep school website up-to-date
    • Create, update, manage Pro Connect back end with managers.
    • Create, update, manage Teams channels and shared files storage.
    • Assist Managers, Training Specialist, Supervisors and DSS with RPOS reports and data compilation.
  • Time and Labor
    • Solve time, labor and payroll problems for managers, supervisors and POD leaders.
    • Provide training on software and systems whenever requested.
    • Audit payroll monthly.
    • Send Pay Advice email to employees and guide EE through resolution.
    • Proactively support ad hoc hours, payroll approval, and payroll entry.
    • Track EE commitments, give bi-monthly (1st and 3rd weeks) status report to SSBS leadership, keep EE’s informed and help Supervisors and Managers reschedule EE’s as they become delinquent.
  • Accounting and Financial Duties:
    • Direct responsibility for purchase order and invoice processing for Nordic Center, SSBS, and Scanning departments.
    • Direct involvement as member of leadership team - creating, modifying, forecasting, monitoring and reporting on all related budgets.
    • Coordinate with Procurement to research and purchase supplies from new/existing vendors.
    • Order all supplies & name tags.
    • Provide administrative support to capital projects.
  • Support Seasonal Hiring
    • Work closely with the Managers, Assistant Manager and Supervisors to ensure that staffing levels are being maintained.
    • Track seasonal hiring, including but not limited to: interviews, communications, housing, on-boarding/off-boarding processes, check-ins, locker, boot dryer and equipment storage assignments
    • Production of onboarding and separation documents as needed.
  • Locker room maintenance. 
    • Inventory and order cleaning supplies.
    • Create and implement cleaning system.
    • Manage locker distribution process.
  • Maintain accurate documentation according to departmental standards.
    • Take minutes during regularly scheduled meetings. Email meeting summaries, track action items and file notes and summaries from all meetings in Teams folder.
    • Manage EE employment documents (I9, Youth Work Authorizations) track, and resolve issues.
    • Maintain department Master Tracker.
    • Create and maintain Daily Business Tracker.
    • Collect and maintain student ability level records.
  • Must become knowledgeable of R&G, Personnel Policies and Procedures and all provisions of the Ski and Snowboard School Employee Handbook. Responsible for keeping up-to-date on policy and provision changes.
  • Responsible to adhere to internal department and company rules regarding confidentiality.
  • Perform other tasks and special projects as assigned.

 

 

The expected pay range is $20.00 - $24.49. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.
