The Senior Administrative Assistant is a full-time year-round role responsible for providing comprehensive administrative support to the Director of Mountain Operations, Director of Base Area Operations and their teams. This position must be committed to completing a wide variety of tasks independently with strong attention to detail, accuracy and follow-through. This position is expected to understand the schedules and priorities of supported leaders and their teams and to provide support by maximizing time and efficiency through forward-thinking partnership. This position will report to the Director of Mountain Operations, collaborate closely with the Director of Base Area Operations, in-resort managers and their teams. 

 

Job Responsibilities: 

  • Provide professional and resourceful administrative assistance to 2 Directors and accomplish goals and meet deadlines in a fast paced work environment
  • Possess excellent self-management skills: organization, goal-setting, time-management, self-motivation, self-directing, demonstrate strict confidentiality, reliability and accountability
  • Be a leader in this role and a contributor in a team-driven environment
  • Follow and be an example setter of company policies and procedures
  • Possess a level of detail and accuracy, drive for results, and have the ability to anticipate business needs before requested. Be forward-planning
  • Support strategic projects and project management duties as required (e.g., developing PowerPoint presentations, memos, and communication plans)
  • Maintain calendars, coordinate meetings, prepare expense reports and arrange travel
  • Become a super-user with the company’s administrative systems: Concur, Coupa, Onbase, Outlook, Smartsheets, MS Teams, Mountain Money and Success Factors
  • Partner with the resort GM’s Administrator and resort personnel to accomplish day-to-day business deliverables and support employee experience programs
  • Create and maintain a comprehensive tracking system to manage all contracts, permits, licenses, agreements, payments and receivables essential to operations 
  • Maintain regulatory documentation and tracking for Federal, State, OSHA and local agencies as needed. Ensure preparedness for annual payment or reports.
  • Track capital budgets, packets and operational expenditures as needed 
  • Assist with operations at the resort during peak periods as needed
  • Other duties as assigned

 

Job Requirements:

  • High School diploma required
  • Previous Vail Resort’s experience preferred
  • Excellent oral and written communication skills required
  • Highly proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook) required
  • Proficient in Microsoft Office and Teams, SharePoint and other software systems
  • Strong critical thinking, problem solving, teamwork, collaboration and leadership skills
  • Must be a progressive learner, organized, detail oriented, and professional
  • Maintain a high level of confidentiality
  • Ability to multi-task with shifting priorities in a fast paced environment. Must be flexible, resourceful, and demonstrate excellent time management skills
  • Experience in project management a plus

 

The budgeted range starts at $20.80 - $28.48.  Actual pay will be adjusted based on experience.
