To administer aspects of new, existing and resigning Beaver Creek Club memberships, membership communication, work closely with sales team and front desk management. Maintain member records and assist with member services to maintain an elite club environment for the clubhouse operation. Timely and accurate interdepartmental communication to enhance the member experience. Other responsibilities include, but not limited to interfacing with Club Operational management duties as assigned and support for member activities and events.

 

RESPONSIBILITIES:

  • Assist in the development of administrative procedures enabling Beaver Creek Club to function more efficiently, knowledgeably and accurately.  This requires the ability to think ahead in terms of what information might be needed, how to track it, where to find it, etc. Tasks include working with, Jonas, ALICE, EMMA, CHO, Microsoft Suite, Excel, & Publisher.
  • Build relationships and interact with members to provide a great Club experience and wonderful Social atmosphere.
  • Very strong administration skills required. Handle all new member onboarding, new member communication, new member registration in database,  set up for new member billing in Jonas, broker referral program and introduction of new members to Club teams. Often shoulder seasons are the busiest.  
  • Knowledgeable in all membership types, dues, qualifications, amenities, membership options/payment plans, transfers and trails.
  • Manage all member billing questions and statements. Reconcile aging reports with Club Accounting to verify credit cards with member billing are accurate.
  • Manage year round housekeeping staff and summer/winter front desk staff. Post jobs, interview, hire, onboard, train, coach and end of season.
  • Payroll support for department in PeopleSoft- exceptions, approve, gratuities and adhoc.
  • Strong management skills and able to lead and flex is busy environment.
  • Work closely with Sales Team to manage potential and new member inquiries regarding membership and tour perspective members.
  • Extensive knowledge of the Beaver Creek Club Rules and Regulations is required both for sharing this knowledge with others and enforcing the Rules and Regulations.
  • Beaver Creek Club website design and editing.
  • Assist Activities Manager to develop, write and distribute the bi annual newsletter.
  • Promote activities and events through verbal communication and written communication.
  • Assist with daily front desk duties as needed and assist other areas of the Club as required.
  • Assist the Club Director and the Director of Golf with duties as needed or requested. 
  • Promote a seamless relationship and experience for members at Club, Golf, Tennis and Cabins.
  • Must have knowledge of the Vail Valley, Beaver Creek Mountain, and surrounding areas.
  • Must have strong interpersonal skills and enjoy working with people in the club and in an organized activity setting.
  • Assist the Activities Manager on events such as Kids Club, Ski Days, Snowshoe Days, Hikes, Member Bike Rides, and other club activities.
  • Member functions and events will require the organization of seating arrangements, name tags for both members and their guests and sign in sheets for billing purposes.
  • Cover all opening/closing/ MOD (manager on duty) as assigned.

 

REQUIREMENTS:

Required:

  • Office Administration, Event and Activities Programming, Group Sales and Services experience
  • Supervisory Experience
  • Computer Skills: Word, Excel, Publisher, Jonas, Emma, Peoplesoft, Guest Connect, ALICE
  • English fluency
  • Enthusiastic, outgoing and highly organized person capable of handling a large volume of detailed and multi-dimensional tasks, knowledge of Vail Valley, outdoor activities, and a self-starter

Preferred:

  • College Degree
  • Previous Private Club Experience

 

The budgeted range starts at $45,000 - $55,250.  Actual pay will be adjusted based on experience.
