Job Summary:

This Conference Services Manager will report to the Senior Conference Services Manager.  Working with Resort Leaders in all departments, this role serves as the visionary of the group services process, tools, resources and communications to enhance the group experience internally and externally. The Conference Services team, coordinates group experiences across all Vail Resorts owned and operated dining venues, activities, lift tickets, ski school and other lines of business within Beaver Creek Village.

Job Responsibilities:

 

 

  • Plan all aspects of events: BEOs, activities, communications, logistics, meeting space needs and design, staff, collateral, vendors, shipments, invoices, schedules and timelines, budget management, pre-payment collection and reconciliation.

  • Maximize food, beverage and activity revenue to the Resorts through strong product knowledge and selling skills.

  • Work with clients to ensure that the function is professionally planned and have contact with client once in house to ensure any requests or problems are resolved.

  • Take responsibility to ensure that group leaders are comfortable with the resort and knowledgeable about our product, personnel and responsibilities.

  • Package all bills ensuring accuracy before sending to accounting for processing, make any necessary adjustments working with and ensure timely payments are received.

  • Develop and maintain professionalism with clients, in house departments and vendors, maximizing profitability and guest service.

  • Position is required to work all major functions as assigned by manager, understanding many events will occur in the evening after hours and on weekends.

  • Position may be responsible for planning events for multiple Vail Resorts Destinations

  • Advanced planning for all Wedding, Social Events, Corporate Programs & Group activities booked within the Vail Collection; The Osprey, The Pines Lodge, and Beaver Creek Mountain Resort.

  • Maximize food and beverage revenue to the Resorts through strong product knowledge, selling skills and client upselling techniques.

  • Utilize an in-depth knowledge of all areas of the Resort as well as outside vendors used by the department as related to group functions including the capabilities, procedures, policies and pricing.  Maintain professional working relationship with food and beverage managers, departments within the Resorts and outside vendors.​

  • Service groups as business levels demand.

  • Work with clients to ensure that the function is professionally planned and have contact with client once in house to ensure any requests or problems are resolved.

  • Attends BEO, resume meetings and operational meetings. Communicates relevant information to the operational areas in an accurate and timely manner.

  • Monitor collection of pre-payment for all groups prior to their arrival.

  • Ensures billing accuracy and conducts bill reviews with the clients prior to processing final bill.

  • Keep client aware of time frames for Banquet Event Orders to be completed, signed and returned 45 days prior to arrival for distribution no later than two weeks out.

  • Develop and maintain professionalism with clients, in house departments and vendors, maximizing profitability and guest service.

  • Take responsibility to ensure that group leaders are comfortable with the resort and knowledgeable about our product, personnel and responsibilities.

  • Catering and Conference Services Manager is required to work all major functions as assigned by the Director or Associate Director of Catering and Conference Services, understanding many events will occur in the evening after hours and on weekends.

Job Qualifications:

  • College Degree Preferred 

  • 2 Years Conference Services or Event Planning Experience

  • Proficiency with Microsoft Office Suite (Outlook, Work Excel, PowerPoint) and SharePoint

  • Experience within Delphi FDC (training will be provided to the right candidate.)

  • Proficient in spoken and written English

  • Flexibility to travel in the resort as needed (transportation is the employee's responsibility.)

  • Phone required for client-facing roles – phone plan is available (candidate must either opt into company plan or assume responsibility for a business phone solution.)

  • Valid driver's license and ability to deliver information to guests via both foot and car if necessary.

  • Ability to spend time on snow to assist with events such as ski school, first tracks and on mountain lunches.

The expected pay range is $58,000 - $62,000. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.
