Position Status: Temporary Contract Position, Salary

Start Date: May 1, 2019, 4 months with potential option to extend

End Date: Unknown (with potential for year round position)

 

This position involves the fulfillment of group activities generated by the Sales Managers in the Group Sales department.  You will work closely with the Sales Managers, Advanced Sales Centre Ticketing Hosts, Whistler Blackcomb Catering, Retail Rental, Snow School, Bike School, Lodging Ovations, and other business units to ensure the smooth fulfillment of group events. You will also build relationships with external clients including but not limited to, Destination Management Companies, and Wedding Planners.  Coordination aspects include, but are not limited to, Catering functions at Whistler Blackcomb venues, sightsee & lift ticket sales, snow school lessons, rentail/rental, hotel rooms and meeting space at Lodging Ovations.

 

Duties:

  • To continually strive to exceed our guest’s expectations and to create memories for guests and staff as the best mountain experience again and again
  • Work with WB Sales Managers to ensure quality and efficiency for all clients
  • Liaise, and communicate between all internal mountain departments
  • Event planning to include floorplans, food & beverage recommendations, timelines, activity details, as well as other Whistler Blackcomb product recommendation and fulfillment.
  • Hold precons with incoming clients, meet & greet of groups, be on site for events and site inspections with potential clients
  • Banquet Event Order creation and distribution in Delphi
  • Upsell all Whistler Blackcomb lines of business & products
  • Develop relationships with internal and external clients & partners
  • Billing of all lines of business serviced within required timeframes
  • Special projects as assigned

 

Qualifications/Expectations:

  • Highly organized with an emphasis on attention to detail and the ability to meet deadlines. 
  • Strong knowledge of Whistler Blackcomb products & services
  • Previous experience in event organizing and procedures
  • Previous experience in food and beverage industry is an asset
  • Previous experience in Sales and/or Hotels is an asset
  • Strong file management skills (will be managing multiple group files at any given time)
  • Ability to adapt plans under pressure with last minute changes in events and able to react in a calm and proactive manner
  • Knowledge of Delphi.fdc is an asset
  • Excellent interpersonal & team play skills.  Ability to work in a challenging and fast paced environment.
  • Strong written and oral communication skills
  • Knowledge of basic office operational procedures (e-mail, faxing & filing)
  • Computer experience with Microsoft Office
  • Experience with billing or accounting is an asset
  • Flexible Schedule – availability to work weekends, evenings, as required by events assigned
