Responsible for all office administration for Game Creek Club management staff and members. Provides assistance to Club Director in overseeing all member services for Game Creek Club.  Oversee the Game Creek Club private Village Clubhouse and ski locker facility located in the Bridge Street Lodge in Vail Village. Maintain a high degree of sophistication and professionalism throughout all Club operations.

 

RESPONSIBILITIES:

  • Administrative duties – provide general administrative support to the management staff of the Game Creek Club, including answering telephones, preparation and distribution of correspondence and coordinate informational communications.  Closely monitor and maintain strict compliance to Sarbanes-Oxley legislation regulations.  Create and maintain comprehensive filing system for all Club areas.  Provide ongoing file maintenance of member records, database management, up-to-date member records.  Update and maintain Club website daily.  Order and maintain all necessary office and Clubhouse supplies and subscriptions. 
  • Club accounting – responsible for posting of all member charges and retail sales accounting; act as accounting liaison for Game Creek Club, answering member questions regarding monthly statements and invoices, making corrections as needed.  Oversee issuance and distribution of ski passes and daily lift tickets, assist members with pass options and selection.
  • Membership sales assistance - assists Club Director’s efforts in maintaining membership waitlist/resignation list and managing membership refunds.  Timely follow-up for all information requests, accurate presentation of Club services, amenities and benefits of Club membership.  Process member resignations and new member applications per Sarbanes-Oxley requirements.
  • Village Clubhouse and ski locker supervision – oversees all aspects of member base facility. Assist members with ski equipment; cleaning, maintaining, servicing and ordering morning and afternoon food and beverage service; business center assistance; maintain a clean and friendly facility; coordinate overnight ski tuning service; assist with registration and security of all ski equipment and facility.  Assist in coordinating member ski days and other activities.
  • Retail sales - coordinates sales, daily deposits and accounting of retail line of logo wear.  Prepare and submit monthly retail inventory accounting.
  • Concierge services – assist members with any and all special requests.
  • Maintain strict confidentiality of all corporate matters and Club issues as well as staff personnel actions and information.
  • Telephone - exhibit positive interaction during any conversation with current and prospective members of the club.
  • Club office - works with Club Director to maintain a professional sales and support environment.
  • Organizational skills - assists Club Director and Member Services Manager in providing seamless, exemplary and highly personalized service to all members, member guests and family.
  • Daily accounting of all retail sales.
  • Expenses - assist Club Director in maintaining close adherence to club’s operating expense budget.
  • Coordinate ordering of all Village Clubhouse supplies.
  • Other duties as assigned

 

JOB QUALIFICATIONS:

  • 4-year college degree or equivalent on the job training and/or experience or Depends on Experience.
  • Previous experience in working directly with very high profile, sophisticated individuals, sometimes with very demanding personalities.  Should have a general working knowledge of the Vail area.  Must be highly organized person capable of handling a large volume of detailed tasks.  Extremely computer literate with web site expertise.  Ability to prioritize workload, self-starter.  Attention to details crucial.
  • Thorough knowledge of the Club’s amenities, benefits and features is imperative.  Proficient in the use of all office equipment including computer utilizing Windows, Excel, Emma, Jonas, Customer Manager, among others.  Some accounting experience helpful, familiarity with Vail Resorts’ customer manager system preferable.  Fine dining experience helpful, either as server, hostess or bartender. TIPS & CPR training provided.

 

The budgeted range starts at $15 - $20.50.  Actual pay will be adjusted based on experience.
