The Conventions Manager is responsible for the set up, execution, billing, and clean up of all convention functions.

 

Job responsibilities include but are not limited to:

  • Review Banquet Event Orders (BEO’s) for setup and staff needs for all Conventions events and set up for banquets
  • Meet with Group Client Contact prior to and at the conclusion of all functions.
  • Maintain a positive and professional rapport with all Client Contacts.
  • Manage all convention events and set up and ensure prompt accurate service with anticipation and compliance of all guests’ needs.
  • Attend all meetings including all Group Review Meetings, Pre Conference Meetings (“Pre-Cons”) and F&B Meetings.
  • Perform basic management functions (manage staff, discipline staff, schedule employees, complete payroll etc.)
  • Responsible for continuing service, training for all staff, and conducting monthly departmental meetings.
  • Responsible for the cleanliness of all banquet meeting rooms, hallways, banquet pantry and all banquet storage areas.
  • Schedule staff and ensure adequate staffing levels for all functions, while adhering to budgeted guidelines.
  • Manage the set up of all banquet rooms that including tables, chairs, audio visual equipment, linen, skirting, china, glassware, silverware and all miscellaneous equipment.
  • Responsible for the billing of all set up and AV charges.  Must obtain signatures on all banquet checks for items not on the BEO or change logs.
  • Work closely with the Culinary Team (Executive Chef, Executive Sous Chef, Banquet Chef and Executive Steward) and communicate all changes, menu concerns, buffet set ups, service timing and special requests.
  • Work closely with the Beverage Team (Beverage Manager, Assistant Beverage Manager, and Banquet Bartender) communicating all changes, beverage concerns, opening and closing of the bars and wine service.
  • Complete employee payroll time sheets on a daily basis, and complete a daily labor analysis compared to budget, and turn in to Food & Beverage Director daily.
  • Complete all banquet gratuity sheets daily.
  • Responsible for requisitioning needed food, beverage and non-food supplies from the storeroom.
  • Perform additional duties as requested by management.

 

The “must haves” for this position include:

  • Previous banquets/conventions experience
  • Point of Sale systems experience
  • Excellent communication and people skills
  • TIPS certification
  • End of day cash close-out experience
  • Ability to work long hours and varied shifts

 

We prefer that you additionally have the following skills / experience, but it is not required:

  • Previous Food and Beverage supervisory experience
  • Previous audio-visual experience
