The Senior Administrative Assistant will interact with staff at all levels in a fast paced environment. The ideal candidate is able to demonstrate flexible, proactive, resourceful characteristics, with a high level of efficiency, professionalism and confidentiality.

 

Job Responsibilities: 

 

  • Work with the Senior Director of Mountain Operations to ensure accountability, divisional training and support, manage communication of upcoming commitments and general responsibilities. 
  • Assist with administrative duties such as correspondence, meeting minutes, emailing, copying, scheduling of meetings, returning phone calls, maintaining and distribution of contact lists, and other administrative support as required.
  • Assist with operations at the resort during peak periods as necessary.
  • Contribute to team success by participating in job sharing, assuming responsibility for the cleanliness of the office, safety of guests and employees, participating in safety meetings, accepting diverse assignments, writing and teaching SOPs, maintaining a positive and friendly attitude throughout all internal and external interactions.
  • Must be able to maintain strict confidentiality.
  • Administer National Ski Patrol benefits including passes and tickets.
  • Maintain regulatory documentation for water use, etc. 
  • Manages and processes invoices related to Mountain Operations. 
  • Perform routine office tasks which include, but are not limited to: multi-line phone system, mail, email, coordinating calendars and appointments, travel arrangements, establishment and maintenance of filing systems. Will assist as needed with the tracking of operational and capital expenditures and project budgets.
  • Plays a key role in the contract approval process, including maintenance of records, schedules and communication between departments. 
  • Prioritize and manage multiple assignments with fluctuating and time sensitive deadlines.  
  • Responsible for monitoring office machinery including printers, copiers and facsimile machines to ensure equipment is operational at all times and that adequate supplies are on hand.  
  • Support with payroll and HR processes as needed.
  • Additional duties as assigned by the Mountain Ops Senior Director.

 

Requirements:

 

  • High School Diploma or GED; College course work helpful.
  • Strong decision making ability and attention to detail.
  • 2+ Years previous administrative experience (or equivalent experience at Northstar)
  • Proficiency with Microsoft Office Suite, Google apps, and VRI Software systems (PeopleSoft, Coupa, Concur, DirectConnect, Enablon, etc.) to effectively complete assigned tasks. 
  • Excellent written and verbal communication skills.
  • Excellent organizational skills.
  • Fluent English Language skills. 
  • Level 6 skier or snowboarder preferred.
