Job Responsibilities: 

  • The Sr Admin Assistant will interact with staff (at all levels) in a fast paced environment, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality.
  • Strong decision making ability and attention to detail.
  • Oversees multiple calendars, schedules and facility bookings. 
  • Works with the Resort VP Mountain Ops Director to manage communication of upcoming commitments and responsibilities. 
  • Must be able to maintain strict confidentiality.
  • Supports resort training programs, communication plans and management outreach. 
  • Assist as needed in preparation of permit applications for a wide variety of governmental and environmental agencies, including: Tahoe Regional Planning Agency, United States Forest Service, City of South Lake Tahoe, Douglas County, El Dorado County, State of California and State of Nevada. 
  • Manages and processes invoices related to the Mountain Operations. 
  • Is responsible for contracts and other reports or communications.
  • Performs routine office tasks which include, but are not limited to: multi-line phone system, mail, electronic mail, phone indexes, coordinating calendars and appointments, travel arrangements, establishment and maintenance of filing systems. Will assist as needed with the tracking of operational and capital expenditures and project budgets.
  • Creates and monitors expense budgets including forecasting in accordance with VR policy and procedure. 
  • Plays a key role in the contract approval process, including maintenance of records, schedules and communication between departments. 
  • Prioritize and manage multiple assignments with fluctuating and time sensitive deadlines. 
  • Assist with planning and coordination of events. 
  • Train new office staff on VR process, policy and procedure. 
  • Assist as needed with coordination and fulfillment of donation requests. 
  • Responsible for monitoring office machinery including printers, copiers and facsimile machines to ensure equipment is operational at all times and that adequate supplies are on hand.  
  • Administrator for all resources, products, equipment, and other shared office services.
  • Additional duties as assigned by the Mountain Ops VP/Director.

 

Requirements:

  • High School Diploma or GED
  • 2+ Years previous administrative experience
  • Adequate knowledge of Microsoft Office Suite and Computer Software systems to effectively complete assigned tasks. 
  • Excellent written and verbal communication skills.
  • Excellent organizational skills.
  • Fluent English Language skills.
