Conference & Event Services Manager – (all non-internal groups)

 

Summary: The Conference Service Manager arranges, coordinates, and communicates all aspects of group business after the sales process has concluded. This position works with clients in detailing the needs of meetings, events or trips, including A/V, Billing, Transportation and Special Requests.

 

Description:

  • Manager of all non-internal groups using meeting/event spaces at Lakeland Village
  • Coordination of  groups and Sales/Service of weddings at Lakeland Village
  • Manage all aspects of group logistics including but not limited to: permits, floor plans, timelines, AV, set up, tear down, vendor recommendations, & transportation
  • Act as cross-departmental liaison as it relates to event planning, needs, set up & execution
  • Work closely with multiple departments including: Lodging, Housekeeping, Security and Homeowner Relationships
  • Collaborate with third party companies for successful execution on Lakeland Village property while adhering to company policies
  • Manage contract completion as it relates to the group
  • Act as liaison between Lakeland Village and client--develop relationships and trust with client to provide exceptional service
  • Day of event coordinator to ensure smooth event execution
  • Communicate events across departments acting as a liaison as it relates to event working closely with multiple departments including: Lodging, Housekeeping, Accounting, Security and Homeowner Relationships. 
  • Adhere to policies & procedures consistent with Vail corporate guidelines
  • Drive all aspects of events: messaging and communications development, logistics, meeting space needs and design, staff, vendors, shipments, invoices, schedules and timelines, budget management and reconciliation
  • Perform various bookkeeping functions, including: initiate & process financial documents related to AR, ensures billing accuracy, collecting payment prior to event, & conduct bill reviews with clients prior to processing final invoice
  • Networking and cultivating the business
  • Influencing and negotiating with internal partners as needed in the best interests
  • Provide detailed customization services and professional counsel to any client with special requests ensuring that those requests can be granted within confines of rules and regulations
  • Maximize revenue and all lines of business with strong product knowledge, servicing skills and client upselling techniques
  • Forecasts and documents all sales and service activities into Delphi.FDC in a timely and accurate manner.
  • Negotiates and contracts Weddings including guest room rates, meeting room rental and function space to achieve maximum profitability while satisfying customer desires, within approved booking guidelines.
  • Coordinate site visits as necessary, and develop organized and professional plans for correspondence and follow up.
  • Actively participates in various industry networking groups. This includes but is not limited to attending local and regional events and conventions, and developing relationships with meeting planners and decision maker for the wedding market
  • Actively participates in weekly sales meeting and wedding regional team meetings.
  • Responds quickly to guest requests in a friendly manner. Follows up to ensure guest satisfaction.

 

Requirements:

  • Proficiency in Microsoft Excel and Word
  • Minimum three years event experience
  • CRM system experience, preferably Delphi or Salesforce
