The Direct-to-Store Position is responsible for the receiving of direct-to-store shipments, and program metric reporting.

 

Job Specifications:

Special Orders Coordinator:

 • Review incoming referrals from stores, customers, and employees submitted via email, ZOHO program, and B2B websites
• Log all new referrals and fill in blanks with available information – i.e. UPC, Pricing, Vendor Cost
• Locate product to fulfill the referral through VRR stores, Vendor sites, and direct contact with vendors
• Create order to request product for customer:
• For products located on Item lookup in VRR Stores - contact store and verify product and help store create Send Sale with customer information and payment
• For products located through vendors – create a purchase order to send to vender via email, through B2B website, or EDI through MMS
• Once customer payment and address is verified and order is processed; verify PO information, create any necessary SKUs, and release PO to be received and paid
• Keep up with orders in progress while updating ZOHO with shipment and tracking information as well as expected arrival dates
• Create and send Order/Shipping Confirmation to the customer through ZOHO through email
• Maintain the Special Orders Log (Zoho) by contacting reps for backorders, updates, tracking numbers, and sold out product.

 

Responsibilities:

  • Distribute metric and pipeline reporting on a twice weekly, weekly and as-needed basis.
  • Obtain information from multiple sources i.e. ASN reports, email notifications, vendor B2B sites (QBP, Trek, Specialized), past due invoice reports to identify and log all inbound direct-to-store shipments.
  • Research and document tracking information and estimated arrival dates for all inbound shipments, using carrier sites and vendor outreach.
  • Receive shipments into stores’ inventory via MMS in a timely and accurate manner.
  • Communicate the details of all inventory movement to stores.
  • Receive special order POs into inventory.
  • Communicate and resolve Trouble Shipments with the data team.
  • Communication to stores, buyers, and vendors about product en route to closed locations
  • Communicate all non-compliant shipment information to Retail Vendor Relations/Traverse for chargebacks.
  • Other projects and duties to support the DC Operations Team.

 

Job Requirements: 

  • High School Diploma or equivalent
  • Basic computer skills with the ability to learn
  • Strong time management skills
  • Independent decision making ability
  • Strong attention to detail
  • Strong organizational skills
  • Knowledge of Microsoft Systems and Programs
  • Must be able to lift up to 50 Lbs

 

 The budgeted range starts at $20.  Actual pay will be adjusted based on experience.
