Support the Travel Industry Sales and Wholesale Group Sales departments through communications, reporting, contracting, maintaining relationships, accounting/budgeting, coordinating collateral needs, and handling FAM (familiarization trips) and trade show preparations as needed. 

ESSENTIAL JOB RESPONSIBILITIES:

  • Coordinate mass communications with Wholesale (FIT & Group) Tour Operators, regarding pricing, contracting and various resort lodging or lift ticket information.
  • Resolve issues and communicate as needed with lift ticket offices, ski schools, accounting, property wholesale contacts and other internal entities.
  • Assist in accounting functions such as tracking/maintaining departmental budget including T&E and bill payment for Travel Industry and Wholesale Group Sales
  • Train tour operator partners on the Web Portal lift ticket ordering system, Epic Pass ordering system, Synxis as well as field follow-up questions
  • Administer winter and summer contract for lodging, lift ticket, and ski school products as well as communicate all changes and updates for Travel Industry and Wholesale Group Sales
  • Arrange and assist as needed with Tour Operator (FIT & Group) familiarization tours including itineraries, welcome packages, site tours, lodging, mountain money, transportation, ski school, ski rentals, meals, and activities
  • Manage event and trade show planning including registration, payments, menus, and schedules
  • Distribute collateral to trip leaders and group wholesalers
  • Coordinate all collateral ordering and shipping as well as for trade shows and trainings as well as maintain inventory for Travel Industry and Wholesale Group Sales
  • Arrange complimentary stays and lift tickets as needed for Travel Industry and Wholesale Group Sales. Maintain a database of giveaways
  • Maintain various information centers including Facebook, Sharepoint, and others.  Organize and keeps information in shared sales network folders (group calendars, property information, off site venue information, photos, activities and other information as needed. Provides regular maintenance of this information to ensure accuracy.
  • Coordinate “schwag” ordering and maintain inventory for Travel Industry and Wholesale Group Sales including amenities, collateral, gifts, etc.

 MINIMUM REQUIREMENTS: 

  • High School degree, College degree preferred
  • Office experience 1-2 years in a support role
  • Must have valid driver’s license and good driving record
  • Computer Knowledge – Word, Excel, Outlook required.  Knowledge of RPOS and Sales Force preferred.
  • Excellent written and verbal communication skills required.
  • Must be organized and detail oriented.
  • Flexible schedule, must be available to work nights and weekends up to 10 events per year.
  • Creativity with web or print publishing.
  • Knowledge of Vail Resorts mountains and lodging properties preferred.
