Job Summary:

The Senior Executive Assistant is responsible for providing comprehensive administrative support to the Senior Vice President of Retail and Hospitality and Senior Leadership Teams, including VP & COO of Retail & Rental, the VP of Operations Retail & Rental, the VP of Retail Product, VP of Hospitality Operations and the VP of Group Sales. This position must be committed to completing a wide variety of tasks independently with strong attention to detail, accuracy and follow-through. This position is expected to understand the Senior Vice President’s schedule and priorities, and support him in maximizing time and focus through forward-thinking partnership. Vail Resorts has a leadership-focused culture. This position will participate in leadership reflections and discussions, and business strategy meetings with the Senior Vice President and his direct reports.

 

Job Responsibilities:

  • Provide poised and resourceful administrative assistance to the Senior Vice President and Senior Leadership Teams; accomplish goals and meet deadlines in a fast paced work environment.
  • Possess excellent self-management skills: organization, goal-setting, time-management, self-motivation, self-directing, stress management, reliability and accountability.
  • Be a leader in the role and a contributor in a team-driven environment.
  • Possess a level of detail and accuracy, drive for results, and have the ability to anticipate business needs before requested. Be forward-planning.
  • Support strategic projects and project management duties as required (e.g., developing PowerPoint presentations, memos, and communication plans).
  • Maintain calendars, coordinate meetings, prepare expense reports, and arrange travel.
  • Schedule and coordinate reoccurring meetings and special events (e.g., town halls, SLTs, offsites), providing technical support, creating agendas, taking and distributing notes, and tracking action items.
  • Create a high level of trust and confidence acting with the utmost professionalism and discretion over the phone, through written communication and in person to accomplish requests and achieve goals.
  • Demonstrate a strong interest in Vail Resorts’ business and the division’s specific goals.
  • Become a super-user with the company’s administrative systems: Concur, Coupa, MS Teams, Mountain Money and SuccessFactors.
  • Provide prompt and efficient customer service and information to guests, clients, business associates and employees over the phone and in person.
  • Establish strong working relationships with key stakeholders including the executive committee and their assistants.
  • Follow and be an example setter of company policies and procedures.
  • Maintain divisional org charts and detailed divisional employee contact spreadsheet.
  • Provide personal support, as needed, for the Senior Vice President.

 

Job Requirements:

  • Bachelor’s degree preferred.
  • 2+ years’ experience supporting a C-Suite executive preferred.
  • 5+ years’ experience providing support to multiple executives preferred.
  • Excellent oral and written communication skills required.
  • Highly proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook) required.
  • Proficient in Microsoft Teams, SharePoint, Adobe Acrobat DC, DocuSign, and OneNote.
  • Strong critical thinking, problem solving, teamwork, collaboration and leadership skills.
  • Must be a progressive learner, organized, detail oriented, and professional.
  • Ability to multi-task with shifting priorities in a fast paced environment. Must be flexible, resourceful, and demonstrate excellent time management skills.
  • Experience working for a publically-held company preferred.
  • Experience in project management a plus.

 

 

 The budgeted range starts at $67,000 - $81,150.  Actual pay will be adjusted based on experience.
