The Health & Safety (H&S) team is looking for a Finance and Administration Specialist – Finance role is responsible for supporting our enterprise H&S finance function, including H&S department and integration budgets, and purchasing management.  This role will work closely with cross-functional teams, including Finance, Accounts Payable, and Procurement, to meet H&S and finance department goals. This role will also support H&S administrative tasks and H&S projects as needed.


Essential Job Responsibilities:

• Manage H&S department and integration budgets, including but not limited to:

  • Creating/managing capital expense (CapEx) and operating expense (OpEx) budgets
  • Creating and updating CapEx and OpEx forecasts
  • Verifying accurate CapEx and OpEx monthly spend
  • Reviewing and completing finance journal entries
  • Submitting manual accrual forms to identify rollover and delayed charges over time

• Manage H&S department and integration purchasing, including but not limited to:

  • Creating/managing/closing purchase orders (POs) via the Coupa platform
  • Uploading/verifying vendors in Coupa
  • Updating vendor information
  • Managing exchanges, returns, and credits
  • Locating lost invoices in the Company’s repository platform, OnBase
  • Uploading invoices to the Company’s platform, APInvoice, when necessary
  • Handling invoice discrepancies

• Forecast future spend on upcoming initiatives

• Educate and inform department and stakeholders on the budget process and state

• Communicate and present status and progress reports as needed

• Drive process improvement with finance-related tasks

• Collaborate with H&S team and stakeholders on finance and administrative needs

  • Support H&S department with administrative functions, including but not limited to SharePoint requests, events coordination via Microsoft Outlook and/or Teams, and mailroom management
  • Support H&S department projects as needed


Job Requirements:

• Bachelor’s Degree required in related field (Finance, Human Resources, Business, Technology, Accounting, Economics, Marketing, or Mathematics)

• 2+ years of general finance and/or budgeting experience

• Proficiency with MS Office tools (Excel, Outlook, PowerPoint, etc.)

• Proficiency with budget management software, including but not limited to Coupa

• Proficiency working with cost calculations, with extra attention to data integrity

  • Good communication skills across different functions and levels in the business
  • Ability to work in a fast-paced environment with changing priorities


The budgeted range starts at $25.00 - $32.35.  Actual pay will be adjusted based on experience.
