Summary of Job:

Provide all facets of administrative level support to five Vice Presidents of Marketing & Communications. Manage processes, procedures, logistics and provide support for the leaders of the Marketing organization. Leverage the VPs’ time and productivity through forward-thinking partnership.

 Essential Responsibilities:

  • Provide poised and resourceful administrative assistance to five Vice Presidents of Marketing with a demonstrated ability to accomplish goals and meet deadlines in a fast paced work environment.
  • Provide support with scheduling, calendars, meetings, expenses, travel and events.
  • Provide support in distributing/upkeep of org charts, weekly reports and other recurring elements.
  • Exhibit outstanding organizational and communication skills and a strong interest in Vail Resorts’ business and the division’s specific goals.
  • Possess a level of detail and accuracy, drive for results, and the have the ability to anticipate business needs before requested.
  • Oversee and maintain department SOPs, as well as company policies and procedures.
  • Become a super-user in the company’s administrative systems.
  • Create a divisional “playbook” outlining important tools, contact information, and other key resource documents to assist in new employee onboarding.
  • Establish great working relationships with the Vice Presidents’ key stakeholders: the executive committee and their assistants, external constituents, and the Vice Presidents’ direct reports and their teams. 
  • Create a high level of trust and confidence acting with the utmost professionalism and discretion over the phone, through written communication and in person to accomplish requests and achieve goals.
  • Provide screening of incoming calls and correspondence, directing to others where appropriate.
  • Operate with clear understanding of confidentiality.
  • Plan and coordinate meetings and special events.
  • Provide prompt and efficient customer service and information to guests, clients, business associates and employees.
  • Maintain comprehensive skills in Microsoft Word, Excel and PowerPoint to prepare or assist with presentations and meeting materials.
  • Support co-workers as needed to ensure a smooth and efficient work environment for all divisional leaders.

Job Requirements:

  • Bachelor’s degree required
  • 5+ years’ experience as an Administrative Assistant required 
  • 2+ years’ experience supporting Vice President and above executive leadership required
  • Highly proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) required
  • Excellent oral and written communication skills required.
  • Must be organized, detail oriented, and professional. Ability to multi-task in a fast paced environment.
  • Must be flexible, resourceful, and demonstrate excellent time management skills.
  • Experience supporting a Marketing, Sales or Communications function preferred.
