Job Summary

The Administrative Coordinator for the Ski & Ride School will provide administrative support to the Ski & Ride School leadership team and employees.  They oversee all internal and external employee communication, managing our employee inbox and phone line, as well as our internal postings and website content and organizing departmental employee events.  This is an integral role within the Ski & Ride School and will require a high level of organizational and time management skills. 

 

The ideal candidate for this position needs to understand how to take initiative and have the ability to act professionally and maintain confidentiality at all times.  Strong oral and written communication skills are also required. It will be necessary to be resourceful and adaptable to a changing environment while providing exceptional customer service to guests and employees alike.

They should possess exceptional organizational and time management skills as well as the capacity to quickly absorb the processes and nuances of our operations.

 

Qualifications

  • A minimum of one-year experience working in a data entry or clerical position
  • High school diploma or equivalent
  • Excellent communication skills via telephone, email, and in-person
  • Proficiency in all aspects of Microsoft Office and ability to become proficient multiple software systems
  • Problem solver, self-motivated and self-directed
  • Exceptional organizational, time-management and communication skills while working in a shared office space
  • Must demonstrate an ability to follow corporate and resort specific policies and procedures, as well as departmental best practices.
  • Must be positive, energetic, and upbeat with the ability to handle a fast paced work environment.
  • Passion for snowsports and the mountain environment preferred
  • Employment in this position is subject to a satisfactory background screening.
  • Must be comfortable with the changing dynamics of a seasonal business, including being available to work weekdays, weekends, and holidays.

 

Responsibilities

  • Maintain the cleanliness and functionality of the admin areas to provide a practical workspace for employees
  • Support the department’s recruiting efforts by entering base schedules, filing paperwork and creating employee profiles
  • Coordinates with PSS for the efficient processing of employee ID cards, passes, uniforms, and nametags.
  • Receive, track and process time off requests from employees as appropriate based on procedure and business volume
  • Accurately enter the weekly schedule and daily payroll for all hourly employees. Identify anomalies and follow-up with employees or supervisors who are missing information
  • Ensure that weekly schedule and payroll deadlines are met and extra resources are requested in a timely manner if needed
  • Assist in the audit of payroll data
  • Manage the employee phone line, email inbox, other communications with staff.  Respond to or redistribute inquires in a timely manner.
  • Identify areas where improvements can be made to the employee experience and propose solutions.
  • Create and post content for employee message boards and newsletters while gathering necessary content from supervisors and coordinators on a weekly basis.
  • Meet on a weekly basis with the SRS Manager to identify obstacles and resources needed, set short term goals, and review personal tasks and performance.
  • Perform additional tasks as requested by Managers and Supervisors, the General Manager and Senior Management Team

  • Raise concerns regarding resources, personnel or workload appropriately and in a timely manner
  • Work unsupervised in a manner that is professional and consistent with department and company policies and procedures.
  • Possess the ability to use good judgment when dealing with situations and scenarios that are not clearly defined by department policy and procedure.

 

Physical Demands and Work Environment

While performing the duties of this job, the employee is regularly required to walk, stand, kneel, bend, crouch, crawl, sit, stoop, balance, climb and hike in and over steep, winter terrain.  The employee will reach with hands and arms to and may regularly lift up to 40 pounds alone and may occasionally lift up to 75 pounds with assistance. Specific vision abilities required by this position include close vision, peripheral vision, depth perceptions, and the ability to adjust focus. The employee is frequently exposed to outside weather conditions.
